The Role
We are seeking an experienced Administration Officer to join our team, based in Bibra Lake. This is a varied role where you will provide administrative support across WHSE, project and contract administration, and broader business operations.
You will work closely with the business managers to ensure records, compliance documentation, reporting, onboarding, training, and system data are accurate, current, and accessible.
Key Responsibilities include:
WHSE
- Assist the WHSE Manager with WHSE data collection, entry, monitoring and reporting
- Maintain WHSE records, registers and compliance documentation
- Support with administration of subcontractor onboarding records, including insurances, certifications, questionnaires, evaluations and assessments
- Maintain training records using the safety database including electronic records, training matrices and induction records for workers
Projects and Contracts
- Assist Project and Contract Managers with entering, updating and maintaining accurate information in the IPM system
- Support the administration of project and contract documentation throughout the project lifecycle, including project compliance against Project Management Plans and maintenance of project documentation where required
- Assist with contract onboarding processes, maintain contractor records and support job planning, including pre-construction risk assessment documentation
- Support project reporting requirements, including monthly project updates against targets, objectives and program requirements, and liaise with relevant stakeholders
Business Support
- Provide general administrative support to the WHSE Manager, Project Managers, Contract Managers and senior staff as required
- Support internal communication and coordination across teams and assist with document control, filing, record keeping and maintaining accurate electronic records
- Support purchasing administration as required
About You
- Previous experience providing general business administration support in a fast-paced operational environment
- Strong organisation skills with a high attention to detail
- Proficient in Microsoft Office
- Previous experience with document management systems
- Excellent communication skills
